1. European Sport Communication (ESC) S.A.’s Commitment to Personal Data Protection
The trust of its clients is of utmost importance to ESC.
Therefore, in compliance with European Directive 2016/679, which came into effect on May 25, 2018, ESC has outlined its personal data protection policy.
2. Personal Data
"Personal data refers to any information related to an identified or identifiable natural person, either directly or indirectly, by reference to an identification number or one or more specific elements unique to that person."
3. European Sport Communication S.A.’s Principles for Protecting Received Personal Data
ESC applies the following seven principles:
Privacy: ESC does not sell or distribute collected personal data for purposes other than those for which it was received. If ESC has obtained explicit consent from the concerned individual, this data may be used by ESC for marketing purposes exclusively for ESC’s benefit.
Legitimacy: ESC collects and processes personal data only for the requested service. With the explicit consent of the concerned individual, this data may be used by ESC to offer future activities.
Relevance and Accuracy: ESC collects only the necessary personal data for processing and takes all reasonable steps to keep this data up to date.
Storage: ESC retains personal data for as long as necessary to fulfill the requested service and, if applicable, for the duration required by relevant legislation.
Access, Rectification, and Objection: Any individual whose personal data is held by ESC has the right to access, modify, correct, or request deletion of this data. They may also object to the use of their data, particularly for commercial or marketing purposes. Contact details for such requests are provided in section 12, "Access and Modification."
Confidentiality and Security: ESC takes all reasonable technical and organizational measures to protect personal data against unauthorized access, alteration, loss, damage, disclosure, or unlawful use.
Sharing and Transfer: As an event and travel organizer, ESC may transfer certain personal data to subcontractors solely for the purpose of providing the requested service. ESC ensures that its subcontractors comply with the European Directive.

4. What Personal Data Do We Collect?
To fulfill the requested service, ESC gathers information about event participants or service users. This information may include:
Contact details (name, first name, phone number, email, etc.)
Personal information (gender, date of birth, nationality, clothing size, etc.)
Information about children (name, first name, date of birth, age, etc.)
Copies of identification documents or driving licenses
Travel dates
Preferences or interests (dietary requirements, allergies, preferred type of accommodation, etc.)
ESC does not intentionally collect sensitive information as defined by the European data protection directive.
5. When Do We Collect This Personal Data?
Data may be collected in various situations, including but not limited to:
Hotel Activities:
Room reservations
Check-in upon arrival
Dining services during the stay
Requests or complaints
Event Participation:
When purchasing or registering for programs
When signing up for a newsletter or promotional email offers
Third-Party Information Sharing:
When provided by companies offering guest lists or booking systems
Online Activities:
Online forms, ESC’s social media pages, etc.
6. For What Purposes?
ESC collects personal data to:
Fulfill its role as a service provider and/or event organizer
Manage bookings related to accommodation, dining, and transportation (air, train, car, ferry, etc.)
Facilitate event or activity participation
Handle complaints or claims
Comply with applicable legal obligations (including tax, accounting, and administrative regulations)
7. Conditions for Accessing Third-Party Personal Data
To ensure the right of access and modification (see section 12, "Access and Modification"), we may need to share received personal data internally and externally under the following conditions:
Within ESC: To provide the best service, personal data may be shared with ESC employees, who are bound by ESC’s data protection policy.
With partners and subcontractors: Personal data may be shared to fulfill obligations toward our clients. These external recipients are either bound by our confidentiality rules or strictly adhere to the European Directive.
With local authorities: Personal data may be disclosed to regulatory authorities to comply with legal obligations or in the context of investigations, in strict accordance with applicable laws.
8. Personal Data Protection During Transfers
As stated in section 6, ESC may transfer personal data internally and externally to recipients in countries with varying levels of data protection.
ESC, in addition to implementing this policy, takes necessary measures to secure such transfers so that personal data maintains the same level of confidentiality as in the country where it was collected.
Except for the necessary data transfers required for providing the requested service or organizing events, ESC does not share personal data with third parties.
9. Data Security
ESC implements all necessary technical and organizational measures, in compliance with legal provisions, to protect collected personal data from unlawful or accidental destruction, loss, alteration, or unauthorized access. These measures include:
Technical protections (e.g., firewalls)
Organizational measures (e.g., access control systems, password protection, physical security measures)
Additionally, any online payment made via credit card is processed through the secure servers of a leading provider in the field. ESC does not have access to or store full credit card details.
10. Cookies
ESC does not use cookies or any other tracking technologies on its website, nor does it install them on your device during your visit.
Social media platforms may install cookies enabling users to share opinions and website content (e.g., "Like" or "Share" buttons). These buttons may allow social networks to track browsing activity on ESC’s website if the user is logged into their social media account while browsing.
We strongly recommend reviewing the privacy policies of these social networks to understand how they use collected information, particularly for advertising purposes. These policies should provide guidance on configuring privacy settings on these platforms.
11. Data Retention
Personal data is retained for the duration necessary to fulfill its intended purpose, whether it be providing a clearly defined service or facilitating event participation. It is also retained for the legally required duration as specified by applicable laws.
12. Access and Modification
Individuals have the right to access and modify their personal data collected by ESC, in accordance with applicable legal provisions.

For privacy and personal data protection requests, ESC must verify the identity of the individual. Therefore, any request must be accompanied by a copy of a valid identification document (ID card, passport, etc.).
If personal data is found to be inaccurate, incomplete, or outdated, the individual must provide updated information to ESC’s data protection department at the contact details above.
All requests will be processed as quickly as possible and always within legally prescribed timeframes.
13. Updates
ESC reserves the right to update its personal data protection policy, particularly to ensure compliance with legal requirements. Therefore, we recommend reviewing it regularly.
